Kyosk Digital Services Limited is a technology-driven platform that connects informal retailers who sell in kiosks and other similar retail outlets directly to fast-moving consumer goods companies (FMCGs) by communicating demand from retail outlets to FMCGs and their distributors and managing goods delivery to kiosks.

Responsible for maintaining the warehouse’s effective administration and control, as well as customer service delivery, while adhering to budgetary and service requirements. Organizing the secure and effective reception and storage of warehouse goods to meet corporate needs and consumer demand. The postholder is also in charge of all logistics-related concerns, such as controlling the movement and distribution of goods throughout the company, as well as fleet logistics and monitoring, including all cost and profit considerations.

Key Responsibilities:

  • Strategic execution: Create and execute best-practice warehouse vision, strategy, policies, processes, and procedures to support and enhance operational performance. Spread the warehousing strategy to the warehouse staff and guarantee acceptance. Directs the development of warehouse SOP, including best practice adoption, and monitors their implementation and acceptance across the organization.
  • Strategic delivery: Help develop and execute best-practice logistics vision, strategy, policies, processes, and procedures to support and enhance operational performance. Interpret patterns, analyze data, and deliver useful logistical data to others in the company to enhance customer experience, reduce costs, and advise on business choices.
  • Operational Delivery: Provide solutions to logistical issues while maintaining high levels of quality and service within budget. Monitor quality, quantity, delivery times, and transportation costs and advise the organization on how to improve them using best practices. Support continuous improvement programs by identifying inefficiencies and cost-saving possibilities. Annual budgets and quarterly reports on operational expenditures, vehicle and equipment acquisition or lease, and maintenance control.
  • Order fulfillment: Using direct reporting, ensure inventory integrity and accuracy while managing stock movements throughout delivery. Ensure that client orders are fulfilled on time and in full (OTIF), including the use of Mpesa payment during delivery. Oversee the delivery model based on route planning, client counts, and order quantities. Ensure that transportation requirements are provided on time and properly managed via solid transportation demand scheduling, allowing operational and programmatic activities to function smoothly.
  • Policy Management: Develop and apply best-practice logistics concepts, policies, and procedures across the firm to enhance operational and financial performance. Drive adherence to the SOPs to ensure compliance.
  • Inventory management entails monitoring inventory levels and advising management on associated hazards. Collaborate with the buying and commercial departments to maintain a consistent supply of commodities to the warehouses, resulting in optimum FIG covers and no needless OOS. Collaborate with the finance team to conduct periodic stock/cycle counts, ensuring complete correctness of the system and physical inventory at all times. Supervise the appropriate handling of items and supplies in the warehouse, including inventory and shipments. Keep track of slow-moving and outdated inventories and advise management on the best route ahead for these items.
  • Operational Efficiency: Ensure that all warehouses run at optimal efficiency, with minimal to no stock loss due to defects and expirations while meeting operational and customer demand. Examine the value stream mapping for all warehouse activities to eliminate non-value-added procedures and reinforce current ones. Develop and execute strategies to achieve business outcomes, as well as promote continuous improvement/process mapping to increase operational efficiency.
  • Order processing management entails supervising order processing operations in warehouses to ensure that they are completed in line with the established protocols and procedures. Ensure that teams strictly adhere to the SOPs while processing orders, including FIFO and FAO.
  • 3rd party service provider management: negotiate tariffs and contracts with the company’s chosen transportation and logistics suppliers. Lead the administration of these 3PL suppliers, including serving as a point of contact to guarantee effective service delivery and timely client fulfillment. Monitor these providers’ service delivery against agreed-upon performance standards, and verify that carriers follow corporate rules or procedures for product transit or delivery.
  • Compliance and Risk Management: Create and enforce inventory management rules in accordance with corporate policies and strategies. Lead the development of warehouse management operational SOPs for the company, ensuring compliance. Develop and execute best-practice warehouse concepts, policies, and practices.
  • Fleet Management: Work with 3PL providers and dispatch supervisors to ensure proper fleet maintenance; ensure efficient utilization of available vehicles and other transportation resources; and monitor associated operating costs to ensure they remain within a reasonable range at all times. Oversee the renewal of automobile insurance coverage, the reporting of accidents, and the timely and effective processing of claims. Direct the creation and execution of fleet administration standards and vehicle operation rules.
  • Performance Management: Determines and monitors overall warehouse performance in order to promote the accomplishment of defined objectives, goals, and standards. To assure achievement of warehouse objectives, foster a high-performance culture among team members via regular one-on-one meetings, monthly performance assessments, and employee involvement.
  • People Management: Lead, mentor, and build a high-performing team that achieves agreed-upon goals while delivering best-practice outcomes, additional value, and continuous development. Set departmental objectives/KPIs, then analyze and assess direct reports’ continuing performance against these goals.
  • Health and Safety Management: Maintain a safe working environment by following health, safety, and environmental procedures and ensuring that the team understands and practices them at all times. Maintain and apply safety procedures by addressing risky activities, conducting inspections, and implementing warehouse safety initiatives. Renew OSHA certifications and conduct yearly safety audits.

Minimum Requirements & Key Skills:

  • A bachelor’s degree in supply chain or a similar profession.
  • A master’s degree and suitable professional certificate(s) will be an additional benefit.
  • A minimum of 5-6 years’ experience in a warehouse setting, with at least 2 years of management experience;
  • Proper understanding of inventory and supply chain management, with prior expertise in inventory control;
  • Experience with warehouse management techniques and best practices;
  • Proficient in warehouse systems, data entry software/systems, and computer systems, especially Microsoft Suite.
  • Demonstrable expertise in managing many warehouses, ideally in the FMCG, Retail, or Manufacturing industries;
  • Complete awareness of the requirements of operating a warehouse, such as health, safety, and security;
  • Proven ability to execute process improvement projects.
  • Strong understanding of warehouse Key Performance Indicators (KPIs).
