Responsibilities:

1. Smooth running of HOD’s calendar Maintain manual & electronic files for HOD

    • Assist the HOD in planning meetings.
    • Book travel and lodging for the HOD.
    • Sieve papers entering the HOD Office, ensuring that everything is in order.

    2. Efficient filling system

    • File and follow up on documents and tasks properly and efficiently.
    • Records management of the department
    • Handle all incoming and outgoing mail, ensuring correct distribution.
    • Coordinate courier services and track the account.

    3. Smooth running of HOD’s office

    • Handle catastrophe calmly and successfully.
    • Identifies and identifies outstanding items that need HOD approval/follow-up.
    • Proposes suggestions for enhancing work processes and procedures.

    4. Great Customer Service

    • Presentable and polite with colleagues, guests, clients, and consumers.
    • Assist the HOD in producing letters, memos, and reports.

    5. Project Management

    • Initiates, manages, organizes, and executes initiatives and projects with others without continual reminders.
    • Conduct business properly and expeditiously

    6. Travel arrangements 

    • Reservations and travel arrangements for personnel and consultants going outside and inside Tanzania.

    7. Network Deployment & Operations

    • Uploading the lines in Oracle and following up with approvers end to end.
    • After the SRN Form is accepted, produce the DC and share it with contractors and the WH team for material return or asset transportation from site to site.
    • Create move orders using Oracle and follow up with approvals end to end.
    • Once MO authorized, communicate the approved paperwork (AMOL) with WH and suppliers for material pickup.
    • Support CWIP reduction via monthly capitalization by completing MO for all targeted services. Pos
    • As per SCM demands, initiate PRs and follow up with approvers until POs are out.

    8. HR Point of contract

    • Provide an office orientation for new staff.

    Qualifications:

    • A university degree/Advanced Diploma in Social Science, Business Administration, or a comparable qualification.
    • Excellent with the MS Office Package.
    • Good grasp of administrative processes and practices.
    • Able to perform in a performance-driven company.
    • Well organized.
