Join our team to deliver exceptional service by expertly managing, monitoring, and overseeing shipments from start to finish. Ensure all processes meet required standards, align with company policies and procedures, and comply with local regulations.
Key Responsibilities
1. Operations:
- Initiate shipment files by assigning file numbers, securing landside and transport rates, third-party service provider costs, and verifying shipping line invoice rates against agreed buying rates.
- Review pre-alert shipment documents for accuracy, completeness, validity, and compliance.
- Coordinate with the clearing department by providing all necessary documentation, notifying consignees, and updating status reports.
- Collect cargo and origin details, negotiate buying and selling rates, and finalize shipping methods with clients and international offices.
- Monitor cargo arrivals against bookings with shipping lines or airlines to ensure timely document handovers and order facilitation.
- Track service successes and challenges to drive continuous improvement in operations.
- Ensure shipments are cleared, released, and delivered within agreed timelines.
- Stay informed about geographic and logistical landscapes to provide expert guidance to clients and stakeholders.
- Demonstrate a strong understanding of INCOTERMS and their practical application.
2. Operational Finance:
- Accurately capture accruals for shipments in the revenue recognition month, including anticipated demurrage, detention, or storage costs before invoices are received.
- Support timely shipment closeouts by tracking progress from order to proof of delivery and invoice payment.
- Obtain and verify clearing instructions from clients, ensuring original bills of lading are forwarded for processing.
- Cross-check Bills of Lading (BL), House Bills of Lading (HBL), or Airway Bills (AWB) against invoices, packing lists, and supporting documents before submission to the customs clearing team.
- Align client invoices with initial estimates to maintain transparency and trust.
- Ensure all forecasted accruals are recorded for invoicing, considering shipment type and geographic factors.
- Collaborate with finance teams and global supply chain stakeholders to issue invoices promptly.
3. Client Engagement:
- Keep clients informed by proactively updating them on shipment arrivals and milestones while assisting controllers with system updates.
- Act as the primary point of contact, guiding clients through the entire shipment process.
- Enhance client retention through operational excellence and clear, consistent communication with internal and external stakeholders.
- Address client concerns promptly, escalating to relevant stakeholders when needed to ensure satisfaction.
- Collaborate with product, pricing, and procurement teams to deliver tailored solutions for clients.
- Build strong relationships with carriers, agents, and customers to boost confidence in our brand and foster loyalty.
- Resolve client queries and complaints efficiently to meet and exceed expectations.
- Take ownership of achieving client-specific Key Performance Areas (KPAs).
4. Compliance:
- Ensure all activities comply with company regulations, global Standard Operating Procedures (SOPs), and business rules.
- Serve as the first point of contact for clients on customs-related queries, working with experts to provide accurate resolutions.
- Partner with customs teams and revenue authorities to compile compliant documentation before shipments arrive.
- Engage with revenue authorities to align tariffs and pricing with in-country legislation and compliance standards.
- Stay updated on customs and freight forwarding regulations across various regions.
Qualifications
- Minimum Diploma in Supply Chain and Logistics (or equivalent).
- Customs Clearance Accreditation.
- Freight Forwarding Certificate.
Experience and Skills:
- In-depth knowledge of the freight forwarding and clearing industry, INCOTERMS, and customs regulations.
- 3–5 years of experience in import/export freight forwarding and clearing.
- Outstanding communication skills to engage with clients and stakeholders.
- Proven ability to meet deadlines with a strong focus on detail.
- Commitment to exceeding customer expectations.
- Proficiency in operational freight forwarding systems and Microsoft Office (Outlook, Excel).
- Strong understanding of INCOTERMS and their application.
